Approved Observer Instructions

Congratulations on your approval. These are the same instructions as in your approval email.

Your dates

Your dates are listed in your approval email.

Arrive at 6:45 AM sharp each day.

Your dates are final and cannot be changed.

Your AA program shadowing forms

Many AA programs ask for their own signed form to document your shadowing hours, often called Documentation of Exposure. We take care of all of them for you, online.

  • Do not print or bring any forms. Everything is done online.
  • We already have each program's form on file.
  • On your last scheduled day, you will get an email with a link. You tick every AA program you are applying to, as many as you need, and submit. That is all you do.
  • Your information fills in automatically. We sign the forms and email you when they are ready to download.
  • If your program is not on the list, email us and we will add it.
  • Two days, about 20 hours, is enough for AA program applications.

Your morning, step by step

  1. 1Park. Use any unmarked public parking spot. The closer to the Emergency Department, the better.
  2. 2Be at the Emergency Department reception at 6:45 AM sharp. It is at the REAR of the hospital. 9330 SR-54 E, Trinity, FL 34655.
  3. 3Get your visitor pass. Report to Security at the reception desk with your physical photo ID.
  4. 4Send ONE group text to both program coordinators, not two separate texts: Bishoy 201-417-9714 and Jeremiah 352-400-9863. Include your full name and say you have arrived.
  5. 5Wait there. A coordinator will come to you, give you hospital scrubs, show you where to change, and pair you with a CAA for the day.

Bring

  • Your physical photo ID. Security requires it for your visitor pass. A picture of it on your phone is not accepted.
  • Closed-toe sneakers. Non-slip is best.
  • A long-sleeved layer to wear under your scrubs. The OR is cold. Disposable jackets are also provided.
  • A small notebook and a pen, if you want to take notes.

Leave at home

  • Valuables. There are no lockers.
  • Your own scrubs. Come in any comfortable clothes. You will change into hospital scrubs.

Your clothes and bag stay in the anesthesia office during the day. Only anesthesia staff can enter it.

Eat something small before you arrive.

Treat these days like an interview

  • Several of the providers you will work with serve on admissions committees for the Nova Southeastern University AA program and for other AA programs. It is one of the main reasons students choose to shadow here.
  • Everything you do here is noticed: how you show up, how engaged you are, and how you carry yourself. It can affect your application to AA programs, because these providers remember you.

We take phone use very seriously.

  • Do not use your phone in the OR. No calls, no texts, no photos, no video. This protects patient privacy.
  • If you are seen using your phone, you will be asked to leave immediately, with no refund.
  • We have had to ask observers to leave for this.

The impression you leave here is the one that stays.

Also in the operating room

  • The only things you may carry in are a small notebook and a pen. Nothing else, not even a water bottle. Hospital scrubs have no pockets. You may drink between cases, outside the OR area.
  • Stay quiet while a patient is going to sleep.

How your day works

  • Bishoy and Jeremiah are the program coordinators. They meet you in the morning and pair you with a CAA based on that day's cases. They may not be the providers you shadow.
  • You may see OB, GYN, oncology, thoracic, ortho, spine, and urology. We do not have pediatrics or hearts. You may politely ask for a specialty. The coordinator and the CAA decide.
  • Plan for a full day. You are guaranteed at least 10 hours each day, and you may stay longer while cases are running.
  • Breakfast and lunch are usually offered at no charge, and dinner too if you stay past 5 PM. You will usually go with your provider.
  • If you would like more days, ask a coordinator in person after you complete two days.

How to reach us

  • Before your day: email trinity.caashadowing@gmail.com. We reply by email as soon as we can.
  • Please do not call or text the coordinators before your day. They are in the operating room caring for patients and cannot answer.
  • On your day: send the group text when you arrive, as in step 4.
  • Please DO NOT contact the hospital about the portal or your Anesthesia shadowing application. The Anesthesia Shadowing Program is run entirely by the Anesthesia Department. Calling the hospital creates unnecessary work for the hospital staff and the shadowing coordinators.
